Job Title: Operations Coordinator

Reports to the Director of Operations

Full time position in Dumbo, NY (hybrid)

Salary: $65-$70K

Key Responsibilities

Wholesale & E‑Commerce Order Fulfillment

  • Coordinate with the 3PL warehouse to ensure timely and accurate processing of wholesale orders.
  • Communicate order priorities to warehouse staff and ensure urgent shipments are expedited.
  • Monitor open wholesale orders daily to ensure on‑time dispatch and delivery.
  • Partner with the warehouse to resolve issues related to fulfillment, inventory discrepancies, or shipping errors.
  • Maintain accurate, up‑to‑date records of all shipments, orders, and inventory.
  • Ensure e‑commerce orders are fulfilled within SLA and that EDI flows correctly from Shopify to the ERP and then to the 3PL.
  • Collaborate with the E‑commerce team to ensure website inventory levels remain accurate.
  • Process internal team orders (Marketing, NPD, etc.) for product shipments from the 3PL.

Logistics Management

  • Manage the shipping of retail orders from the 3PL to customer facilities, as well as the movement of components and finished goods between vendor locations and the 3PL.
  • Partner with Manufacturing on new product launches and replenishment timelines to maintain healthy inventory levels and support on‑time launches.
  • Create and send RFQs to freight forwarders for domestic and international shipments.
  • Track shipments and coordinate with vendors, freight forwarders, and clients to ensure on‑time, cost‑effective delivery.
  • Proactively troubleshoot and resolve shipping delays or issues to maintain smooth logistics operations.

Cross‑Functional Communication

  • Serve as the primary point of contact between the 3PL, freight forwarders, and internal/external partners.
  • Work closely with Retailer Account Managers to support on‑time execution of new launches and replenishment orders.
  • Partner with Finance to ensure accurate and timely recording of business activity.
  • Collaborate with internal teams (Sales, Customer Service, etc.) to align on fulfillment expectations and ensure customer needs are met.

Qualifications

  • Proven experience in operations, logistics, or supply chain management (preferably in wholesale, warehousing, or logistics environments).
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills for interacting with retailers, internal teams, suppliers, and 3PL partners.
  • Familiarity with ERP systems, warehouse management systems (WMS), and order‑tracking tools.
  • Knowledge of international shipping and freight forwarding.
  • Ability to multitask and manage several projects simultaneously while maintaining positive working relationships with internal and external partners.
  • A proactive, solutions‑oriented mindset and the ability to work independently.

Preferred Skills & Experience

  • Experience with wholesale order fulfillment and third‑party logistics providers.
  • Experience working with retailers.
  • Hands‑on experience with EDI or similar interfaces.
  • French and/or Italian language skills a plus.
